How this works

What makes an invoice get paid faster.

What should a consulting invoice include?

At minimum: an invoice number, your business name and contact info, the client's name, the invoice date, a line-item breakdown of the work (description, quantity or hours, rate), the total due, and clear payment terms. Vague line items like "consulting services" invite payment delays — be specific about what was delivered.

What's the best invoicing software for independent consultants?

For a solo consultant sending a handful of invoices a month, a free generator like this one is often enough — it produces a clean, professional PDF without a monthly subscription. Once you're tracking hours against retainers and want invoices generated automatically from logged time, that's where dedicated billing software (or a CRM with billing built in) starts to earn its cost.

Should I charge tax on a consulting invoice?

It depends on your jurisdiction, business structure, and the client's location — this varies enough that there's no universal answer. Check your local tax rules or ask an accountant; the tax field in this tool is there so you can add it when required, not because it's always needed.

What payment terms should I use — Net 15, Net 30, or due on receipt?

Net 15 is a reasonable default for ongoing client relationships — long enough to be normal, short enough to keep cash flow healthy. Net 30 is more common with larger companies whose AP departments won't move faster regardless of what you write. "Due on receipt" works for one-off or trust-sensitive engagements, but don't expect same-day payment just because you asked for it.

How do I invoice for a retainer versus hourly work?

For a retainer, the line item is usually the flat monthly fee itself, not a breakdown of hours (unless your agreement specifies otherwise). For hourly work, list each block of hours with its rate so the client can see exactly what they're paying for. This tool handles both — just adjust the quantity and rate per line item.

Can I download this invoice as a PDF?

Yes. Fill in the form and click Download PDF — it uses your browser's built-in print-to-PDF, so the invoice is generated entirely on your device with nothing uploaded. You can also copy it as plain text or download it as a .txt file.
